How to choose the right operating system (and device)

  • Pick your primary device: If you’re on a phone now but will print from a laptop or desktop, choose the OS of the device you’ll use most.
  • Windows users: Ideal if you’re trying to add a printer to Windows after a router change or want a clean connection to avoid “offline” messages.
  • Windows 11 vs Windows 7–10: If the PC was bought or updated after late-2021, pick Windows 11; else choose Windows 7–10.
  • macOS users: Choose macOS if you need help adding a printer on Mac or fixing situations where the printer shows online but still won’t print.
  • Apple devices: For a Mac, pick macOS (Sonoma/Ventura/Monterey). For iPhone or iPad, choose iPhone / iPad if that’s what you’ll print from most of the time.
  • Android devices: Select Android if that’s what you’ll print from most of the time, especially if your printer keeps going offline when the Wi-Fi changes.
  • Chromebook users: Choose Chromebook if you need guidance on adding a printer in “Settings → Printing”. We help you connect the printer to Wi-Fi cleanly so it appears in the list and doesn’t stay “offline” or “not available”.

How to find your printer model (or use brand name)

  • Where to look: Front panel, inside the access door, rear label, box, or the printer’s Wi-Fi Direct name.
  • Common formats: “DeskJet 2710e”, “PIXMA TS3150”, “LaserJet Pro MFP”, “EcoTank ET-2811”.
  • If you’re still unsure: just type the brand name (e.g., (HP, Canon, Epson, Brother, Samsung)) — we’ll narrow it down during guidance.

Pick the correct issue (quick checks)

Connect to Wi-Fi (wireless setup)

  • No Wi-Fi symbol or a blinking wireless light on the printer.
  • Router or broadband recently changed.
  • Use WPS or switch to 2.4 GHz if needed.
  • Useful if you’ve been trying to connect your printer to Wi-Fi and it never completes the setup.

Fix “Printer Offline” / Not detected

  • Windows or macOS says Offline or Not responding.
  • Jobs sit in the queue and never print.
  • USB/Ethernet changed or IP changed.
  • Ideal when you want to bring a printer back online without reinstalling everything.

Printer not printing (jobs stuck)

  • Nothing prints or the queue is stuck on Spooling.
  • “Use Printer Offline” or Pause is ticked.
  • Wrong default printer selected.
  • Covers common “printer connected but not printing” situations.

Not scanning

  • Scan app can’t find your device.
  • Scan to PDF or email fails though printing works.
  • Recent network, USB or router change.

Add on Windows / Add on macOS

  • New printer or removed and need to add again.
  • Use the built-in Add Printer tools and drivers.
  • Helps when your computer can’t automatically add the printer or keeps losing it after sleep.

USB or wired connection (simple guide)

  • Use a cable only (no Wi-Fi) or if Wi-Fi is unreliable.
  • Need basic IP help on a wired network.
  • Follows a simple USB printer connection guide so the device appears once the cable is plugged in.

New device (first link)

  • Brand new or factory-reset printer.
  • First connection done cleanly to avoid “offline”.
  • Perfect for new printer setup so your first test page works without errors.
